EXECUTIVE SUMMARY

This report is about the internship training that was carried out at Good Brothers International within a period of September to October 2021. This normally takes place in second year after first semester.

This report is written to capture the entire industrial training program and constitutes three chapters in the order; background of the organization in the first chapter, description of the activities carried out, challenges faced, skills gained, relationship with the supervisor in chapter two, conclusions and recommendations in chapter three.

Under this program, I was assigned with different activities that enabled to attain the main objectives of internship and they are as follows; Entry pass and reading of seals: Registering of seals of containers to ensure proper documentation, Receiving of cargo: I was assigned the responsibility of registering cargo that is entering into the company, Putting seals on export trucks: The seals on exports containers are used to ensure proper recording of the goods being exported, Sealing of containers meant for export: the containers are also sealed to ensure that they are protected from poor weather and protected from damage and Capturing entries using ASYCUDA world: The entries are captured using ASYCUDA world of ensure better capture of company data.

This report also covers a couple of challenges that I faced during the training due to the fact that I was new in the area and not acquainted with the people who were there. Some of the challenges that confronted me on the first day is that i had fear of approaching some of the staff that was meant to help me.

Lastly, I made conclusions and recommendations whereby a general wrap up of key issues were raised in this report. The recommendations are advises to the organization, the university and the fellow students. Management as well as other employees of Good brothers ltd should be alert and in position to offer prompt response in an attempt to combat the various problems within the company to enhance the smoothness of the operations.

 

CHAPTER ONE: INTRODUCTION

1.0 Introduction

This chapter covers the back ground of the field attachment training, purpose, objectives and scope of the training. It also covers the back ground of the organization, its organization structure, and location, objectives, mission and vision statement.

1.1 Back ground of the field attachment

Internship is afield based practical work experience carried out by the students outside the institution. This is a requirement for the student by Management Training and Advisory Centre and its objective is providing exposure for students on practical skills and technical experience.  Through this exposure, students get a better understanding of management by practice in general and possible challenges that might occur within the working environment and suggest possible solutions to them.

During the internship placement, the academic supervisor visits and assesses the students’ performance using the assessment forms with the help of the field supervisor. The evaluation is therefore made on student’s performance during their stay in the organization and this is done by both the academic and field supervisor. This is followed with report that is written as evidence showing the attachment to the department where the internship training was carried out. This internship training was therefore made a success between the months of September to October2021

1.2 Objectives of the industrial training

  • Industrial training enables students to get exposed to the working environment so as to know what exactly takes place.

 

  • To enable students build their resumes which can later be paramount at the time of applying for jobs in the respective fields.

 

  • To help students develop business contacts.

 

  • To help students land jobs in the companies where they have done training from.

 

  • Students also gain knowledge about performing specific tasks coupled with developing problem identification and problem solving skills in accounting.

1.3.0 Organization profile

It’s an internal container depot there are two companies under one roof, the second company is HUAYA Logistics Company owned by a Chinese called jack. Their shipping line is costal. The company started in 2019 and is located in Namanve Industrial area.

1.3.2 Mission

To constantly exceed customer expectations by providing superior freight forwarding and global transportation.

1.3.3 Vision

To add value to customers cargo by giving the best and hustle free services enabling them to concentrate on what they do best without worrying about shipping and deliveries.

1.3.4 Goal

To oversee the handling of confirmation, settlement, and delivery of transactions.

1.5 Tasks carried out by the organization

The organization is engaged in the clearing and forwarding of goods, from other goods.

Customs valuation is one of the key activities that the company is involved in.

The company is involved in warehousing activities, this helps in keeping goods until such a time when the owners have the finance.

The company is involved in transportation activities.

Sealing of containers meant for export.

Another important fact is providing employment opportunities to the people around the organization in order to improve their welfare.

CHAPTER TWO: DISCUSSION OF ACTIVITIES CARRIED OUT

2.0 Introduction

This chapter encompasses the description of the activities carried out by the organization, the activities that I was assigned as an internee, knowledge and skills gained, relationship with staff and the supervisor as well as the challenges faced during the execution of the tasks that were allocated.

2.1 Description of the activities carried out by the organization

  • Exporting goods from Uganda to other countries.
  • Receiving of imports to be warehoused
  • Sealing of goods for exports.
  • Offering storage facilities to goods as they await tax clearance by Uganda revenue authority.

2.2 Activities that were allocated to me for accomplishment.

Entry pass and reading of seals: Registering of seals of containers to ensure proper documentation.

Receiving of cargo: I was assigned the responsibility of registering cargo that is entering into the company. This was done daily at the barrier gate.

Document check at the barrier gate would be the first thing to do to ensure that the goods are meant to be in that vey ICD, to check truck numbers, drivers contact if they are the one on the T1, description of goods that are entering the ICD because some goods are illegal and prohibited, while some are restricted from entering the country for example narcotic drugs, arms and ammunitions.

Verification of seals would also take place to check if they are not tampered with, this as always done in the presence of the proper officer and barrier manager.

Placing seals on export trucks: The seals on exports containers are used to ensure safety of goods moving by trucks or multi-modal transport.

They are used in trucking goods in transit to avoid theft

A identification of revenue authority of that country to show the country of origin

Identification of the shipping line of that particular container

Identification of the logistics company that is transporting that cargo since some of the logistics company have their own seals.

They are two types of seals used;

The electronic seals

The plastic seals

Capturing entries using ASYCUDA world: The entries are captured using ASYCUDA world of ensure better capture of company data.

Uses of ASYCUDA world

Declaration of goods to customs on form C17A

Appoint Agents

Used for furnishing particulars relating to customs data

Used to generate transit Documents (T1).

Assessing customs entries for the purposes of reading through customs or payment of taxes.

Declaration of exporter, Importer country of origin, import and means of Transport e.g air

Generating cargo manifests

Verification process

 

Verification process:

The clearing agent take the document to barrier office.

The barrier office gives the document to the proper officer

The proper officer and the clearing agent open the container and gets the documents to check whether goods in the containers tally with those in the packing list or commercial invoice.

If the goods tally, the proper officer makes a verification account and both the clearing agent and the proper officer signs on it.

The agent takes the verification documents to the customs office and at the barrier office then they are given exit note.

Entry pass, and entering them both manually and automatically (use of computer): Data entry for received consignment and issuance of the

Customs tariff classification: Different classification concepts or different goods.

Customs valuation: Valuation of products to determine their taxes.

Working in ware house: activities include,

  Receiving of stock in the ware house, maintaining stock in the warehouse,

loadind and offloading of cargo

filling stock legure cards

tallying of items in the excel using computer.

Branding and coding of goods to differentiate them fom each other

Arraging of cargoin different proportions

Attending to clients

Verification

Functions of a warehouse.

This is a storage facility

It extends more time for importers to pay taxes (9 months)

Record keeping both cargo entry and exit.

Examination of cargo by proper officer: proper officer examines the goods by proper officer and determines the accuracy of the entry made. To confirm the country of origin of goods.

2.3 Knowledge and skills gained

  • How to read seals on the containers.
  • Document check at the barrier gate.
  • Issuance of entry pass at barrier gate.
  • Sealing containers.
  • Witnessing how goods are verified at the verification bay.
  • Reading seals and letting in the containers.
  • Issuance of rotation numbers for record purposes.
  • Documentation check at the barrier gate.
  • Verification of goods in the ware house which is done in the presence of a clearing agent or propery officer.
  • Classification of different items.
  • Data computation , import duty, exercise duty, VAT duty, Infrastructure levy, environmental levy, stamp duty, stamp duty, COMESA and other charges.
  • Understanding the determinants of taxes, Bond in force.
  • `warehousing of cargo
  • Supervision of cargo stocking in the ware house.
  • Preparation of goods and examining the accuracy of the entry.
  • Understanding the roles of clearing agent.

On the other hand, I gained the following skills

  • My computer skills greatly improved as regards making internet connections and so forth.
  • Communication skills were also a requisite in the organization since I was always sent to various people to pass on communication and I gained them as well.
  • I also gained listening skills which were always paramount if I was to understand activities that were being allotted to me
  • Time keeping skills

2.4 Relationship with staff and supervisor

 

My relationship with other staff was pretty good since I occasionally interacted with them to acquire some pertinent knowledge about what I felt like knowing. They always urged me to ask various questions so that I extend my frontiers of knowledge. They also shared with me some staff where need always arose and I was so delighted about that since I felt at home. I always felt like a fellow employee of the organization which wasn’t the case in actual sense.

 

On the other hand, the relationship with my supervisor was also good in such a way that I freely approached her to help me out with some tasks that seemed to be difficult. All in all, I didn’t have any conflicts with staff and my supervisor.

2.5 Challenges faced and how they were handled

  • Officers arrive late in the office. Most times officers’ arrive late ad before they arrive no one is allowed to open the gate. This affected my internship in that I began work late so I did not have enough time during the day to complete sometimes all my daily tasks.
  • Container climbing: climbing the containers was difficult since it was for the first time. And some trucks don’t leave space for stepping on, which some how slows the work because you take time to allocate a better position where to stand and accomplish the given task.
  • Learning the computer system: the computer system is difficult and it took a bit of practice to understand.
  • Network challenges: There was network challenges most times the network could go off and this could affect the work that we do I the company especially ASCUDA.

 

  • Reluctance on the first day of internship, this happened due to the fact that after orientation, I had no tasks to accomplish after orientation. However, the following day I was allotted some tasks and this made me active and all the boredom that in had the previous day was overcame.

 

  • Fear to approach some staff members for help, since I was not accustomed to them. This made inquiries a bit hard. As time went on, I got used to the staff members and approached them freely to supplicate for help whenever I needed it.

 

  • Limited space for interns, since we were very many from various institutions and universities like Kyambogo, Makerere University UCC and others, the space for seating were not enough. This made their offices crowded and more disorganized than they expected

 

  • Network breakdown, sometimes the institution experienced problems when it came to internet connection which was on and off. This created difficulties in getting relevant information and researching for some relevant information about the organization. Work would come to a standstill.

 

 

 

 

CHAPTER THREE: CONCLUSIONS AND RECOMMENDATIONS

3.0 Introduction

This chapter includes recommendations and conclusion about the above mentioned.

3.1 Conclusions

The field attachment was very effective as the intern was able to acquire a lot of experience and practical skills through human interaction. The internship period was a very beneficial academically, socially and it was a great exposure as regarding the applicability of clearing and forwarding in the field. It was an opportunity to appreciate the need to apply theory into practice through human interaction and learning techniques.

  • I gained practical knowledge on how clearing and forwarding is performed in an organization, such as verification of goods.
  • I gained practical knowledge on data entry for the received consignment.
  • I gained knowledge on how to capture data using to ASYCUDA world.
  • I also acquired knowledge and skills of problem identification and solving and this tremendously impacted on my existing knowledge.
  • I also got exposed to the working environment and got to know how to conduct myself when at work.
  • Personally, I got business contacts that can help me in the future when seeking for employment.
  • I also got to understand some of the language used in clearing cargo.

3.2 Recommendations

To the organization;

Fixing the Network; the organization should on fixing the network by changing its network service providers to a more reliable network since most of the times the internet was on and off this tended to affect the work being done.

 

  • Acquisition of more computers

Clearing department department should acquire more computers so as to reduce on the paper work which causes tracing of some documents a hard task hence causing delays and also it will help a lot in recording data about the new products that have been bought.

  • Arranging of the ware house:

The ware house consumes much space something that prevents effective monitoring of the cargo since much space is consumed, therefor here is need to effectively arrange the ware house to create space and allow easy human movement in the ware house.

To the institution;

  • Ensure supervision of interns

The institution should make sure the academic supervisor makes it a point to supervise each student in their different training places and also to supervise them on time so as to avoid delays.

  • Provision of internship allowances

The institution should consider giving financial support to the field work, this would help the students to cover some expenses

  • Linking students to known organizations

The institution should search for internship opportunities from these recognized organizations that are connected to it.

To the government;

  • Follow up on internship

The government should encourage public institutions with National Council for Higher Learning, it should make a follow up to make sure that this exercise is appropriately carried out by public institutions and universities.

  • Provision of intern places
